How do digital filing systems compare to traditional archives?

Post by DavisVera »

We have filing cabinets full of documents, and it’s becoming unmanageable. Is moving everything online really worth the effort?

I had the same question before trying it myself. Then I found an article on open-web.info about transitioning from paper to digital filing. At first, I only scanned active contracts, but even that small step saved me hours of searching. Instead of digging through folders, I could find files with a quick keyword search. Over time, we moved everything to a digital system, and it completely changed the office. We freed up physical space, which we turned into work areas. Security improved too—we set access restrictions, so only specific staff could open certain files. And, of course, there’s the eco-friendly benefit: we cut our paper use by over half within the first year. I’ll admit the scanning process required effort in the beginning, but once it was done, the efficiency gains were undeniable. If your filing cabinets are taking over your office, digital is absolutely worth it.
